How it works

Four steps, start to finish.

In short

The India statutory page in MyRecords takes a month's submitted salary slips and works out PF with the EPF, EPS and EDLI split, ESI, professional tax, LWF and TDS, with their due dates. It makes the PF ECR text file and the ESI upload file for the portals. Salary TDS returns are partial: a Form 24Q text file for quarters up to March 2026, and for 2026-27 a Form 138 layout in Excel to key in. Uploading and paying on the portals stays with you or your CA.

  1. Step 1

    Submit the month's slips

The statutory page reads only submitted salary slips, so the files match what was paid.

  2. Step 2

    Fill the gaps

The files are held back, with a list of names, while anyone with PF has no UAN or anyone with ESI has no ESIC IP number.

  3. Step 3

    Download the files

The PF ECR text file, the ESI .xls, professional tax by state, and TDS by employee with PAN and declaration status.

  4. Step 4

    Upload and pay

You or your CA upload the files on the EPFO and ESIC portals and pay by the due date shown.

4 of 8 work today

  • Works today 4
  • In part 4
  1. PF ECR fileWorks today

The ECR text file with each member's UAN and EPF, EPS and EDLI wages. PF wages are capped at ₹25,000 from 17 Sep 2026 (₹15,000 before); September 2026 is split by days. No EPS from age 58. The page names anyone whose salary structure still caps PF at ₹15,000.

  2. ESI upload fileWorks today

0.75% from the employee and 3.25% from the employer for gross pay up to ₹21,000 a month, in the Excel 97-2003 (.xls) format the ESIC portal accepts.

  3. Due datesWorks today

PF and ESI by the 15th, TDS by the 7th (30 April for March) and the quarterly return, on the statutory page and the Home calendar. Professional tax dates for most states are on the Home calendar.

  4. Professional tax by stateIn part

Slabs for 20 states and Puducherry, with the source shown for each, and each person's deduction checked against their state's slab. Odisha repealed the tax from April 2026; Meghalaya has no slab table, so its amount is entered from your demand. Slabs marked "verify" wait for a CA's check, so we confirm your state during setup.

  5. Form 24Q text fileIn part

The e-TDS text file in Protean's FVU format for quarters up to March 2026, and Annexure II for 2025-26 as Excel. Check the file with Protean's free File Validation Utility before you file.

  6. Form 138 for 2026-27In part

From April 2026 salary TDS returns move to Form 138 under the Income-tax Rules, 2026. MyRecords gives Part B and Annexure I as an Excel layout to key into the utility. It does not make the Form 138 file itself yet.

  7. Labour welfare fundIn part

An LWF salary component is tagged on the payslip, totalled by state with the employee and employer shares, and shown in the registers. State LWF rates are not built in, so you set the amount.

  8. Statutory registersWorks today

The Code on Wages registers (Forms I, IV and IX, and Form V wage slips) and the older Forms A–E for a month, as PDF to print or Excel.

Ask us anything about it. A person from our team replies.

Ask a question
01Is the new ₹25,000 EPF wage ceiling built in?

Yes. PF wages are capped at ₹25,000 from 17 Sep 2026 under S.O. 5109(E), and September 2026 is split by days, ₹15,000 for 1–16 Sep and ₹25,000 for 17–30 Sep. Salary structures still capped at ₹15,000 must be updated, and the page lists those people. Verify the September split with your CA.

02Have these files been accepted by the government portals?

They follow the published formats and are checked against them in our tests, but no client has uploaded one to the live portals yet. In the pilot we check your first month's files with you and your CA before you file.

03Which states' professional tax is covered?

Andhra Pradesh, Assam, Bihar, Chhattisgarh, Gujarat, Jharkhand, Karnataka, Kerala, Madhya Pradesh, Maharashtra, Manipur, Meghalaya, Mizoram, Nagaland, Odisha, Puducherry, Punjab, Sikkim, Tamil Nadu, Telangana, Tripura and West Bengal. Odisha repealed the tax from 1 Apr 2026 (Ordinance No. 2 of 2026), so nothing is deducted there from April 2026 salaries; verify with your CA.

04What about salary TDS returns for 2026-27?

From April 2026 the return is Form 138, whose file format is different. MyRecords gives Part B and Annexure I as an Excel layout for you or your CA to key in. The Form 24Q text file is only for quarters up to March 2026.

05Why is the ECR file blocked?

Someone in the run has PF but no UAN, or ESI but no ESIC IP number. The page lists them; add the number on the employee's record and download again.
