How it works

In short

MyRecords runs as a dedicated system for each client, never a database shared with other businesses. Choose MyRecords Cloud, where we run the server for a monthly fee, or your own server (Ubuntu or Debian, at least 2 vCPU and 8 GB of memory) under a yearly AMC. Both get daily encrypted backups, a health check every five minutes, tested upgrades with a way back, and a full export of your data whenever you ask for it.

    Choose where it runs

    MyRecords Cloud in India or one of eight other regions, or your own server in your office or your own cloud account. The setup fee is the same.

  2. Step 2

    We install it

    From a self-contained release bundle that carries every part the system runs. A fresh install takes 7.5 to 11 minutes to a working site.

  3. Step 3

    Set up and move your data

    Company and tax details, users and access packs, then your masters and opening balances. The core is ready in 1–2 weeks; a parallel run follows until three days in a row reconcile with no manual fix.

  4. Step 4

    Go live, then upgrade safely

    In our drill an upgrade took 3 minutes and a rollback to the previous version 95 seconds.

    Ubuntu 24.04 or Debian 12, at least 2 vCPU and 8 GB of memory (4 vCPU and 16 GB for a medium or large business), a fixed public IP, a domain name pointed at it and ports 80 and 443 open. The hardware and the database are yours; we look after it under an AMC.

  4. Daily backupsWorks today

    A backup set every day with all uploaded files, kept 14 days on the server and 90 days off it. Sets are encrypted (AES-256) and their key is kept apart from them. Copies leave the server only when a backup destination (a storage bucket or backup host) is set, so we set one at install.

  5. Restore, testedWorks today

    In our restore drill, backup files became a usable site in 79.5 seconds (22 Oct 2026); an encrypted set took 209.9 seconds (3 Nov 2026). On the Standard tier you lose at most 24 hours of data and are back in service within 4 hours.

  6. Health check every five minutesWorks today

    Whether the site answers, disk space, the background queue, the scheduler and the age of the last backup are checked every five minutes, with an alert when something fails. System health in Administration shows backups, background jobs and errors, with Back up now.

  7. Upgrades with a way backWorks today

    Each upgrade is a new bundle. It takes a backup first, shows a maintenance notice for the 3 to 4 minutes it runs, and one command returns to the previous version if anything looks wrong.

  8. Your data, your exitWorks today

    Export any list or report at any time. When you leave, you get a full export in open formats within 30 days of notice.

01Is my data on a shared server with other businesses?

No. Each client gets a dedicated system with its own database, on MyRecords Cloud or on your own server.

02Where is MyRecords Cloud?

In India by default. Other regions (US, Europe, UK, Singapore, Sydney, UAE, Saudi Arabia, South Africa) are available too, and your quote is for the region you pick.

03What do I need for my own server?

A machine or cloud server with Ubuntu or Debian, at least 2 vCPU and 8 GB of memory (4 vCPU and 16 GB for a medium or large business), a domain name pointed at it, and ports 80 and 443 open. Our team installs it for you.

04Which costs less?

The setup fee is the same. MyRecords Cloud is monthly and includes hosting and maintenance. Your own server needs your hardware plus a yearly AMC. We quote both for your business, so you can compare. Get a quote.

05What if the server fails?

On the Standard tier we rebuild on a new server from the latest backup within 4 hours, losing at most 24 hours of data. A managed database tier brings data loss down to minutes.

06Who does upgrades and statutory updates?

Our team. Regular software updates and bug fixes, including GST, TDS, PF, ESI and PT changes, are included in your cloud plan or AMC. The AMC page says how many major upgrades each tier includes.
