What it fixes
What changes with Subcontracting.
In short
Subcontracting in MyRecords handles job work you give out: a subcontracting order to the job worker, material sent on a delivery challan, finished goods received back, and the materials used or returned. Each order's Job worker tab shows what they still hold, its value and its age. It also runs customer job work orders, for work you do on a customer's material. In India the challan follows rule 55, and the job-work registers give the ITC-04 tables. It needs the Manufacturing module.
-
Before: Nobody tracks the material lying with job workers.
With Subcontracting: The Job worker tab shows material sent, used, returned and still with them, with value and age.
-
Before: Challans are handwritten and never match the books.
With Subcontracting: The Job Work Challan prints from the transfer with both GSTINs, HSN, quantity and taxable value.
-
Before: ITC-04 takes days of digging every time it is due.
With Subcontracting: The job-work registers list inputs sent and goods received back for the period, job worker by job worker.
-
Before: Inputs come back late, and it shows only at year-end.
With Subcontracting: A daily alert names inputs that have been with a job worker for 300 days, before the one-year limit.
What it does
What Subcontracting does for you.
Everything here works today on the demo company.
- 01
Subcontracting orders
Order the service from the job worker with the materials they need, from a purchase order (a production plan makes one per job worker) or straight from a job card.
Works on the same records as
- 02
Send materials
Send materials moves them to the job worker's store, and the Job Work Challan prints from that transfer.
- 03
Receive finished goods
Receive goods takes in what the job worker made. The materials used are consumed, and the cost of the finished item includes the job charge.
- 04
Return and close
Return components brings back what was not used, then Close the order. Re-open it if more comes back later.
- 05
Job worker tab
Material sent, used, returned and still with them, with value and age, goods still to receive, and links to every transfer and receipt.
- 06
Reserve stock
Reserve materials for an order so they are not used for anything else before they go out.
- 07
Job-work registers
ITC-04 table 4 (inputs sent) and table 5A (received back), each job worker's balance at the period end, and the customer material you hold.
- 08
Due-back alerts
A daily alert lists job-work goods due back and inputs held by a job worker for 300 days.
- 09
Customer job work orders
Receive material from customer, make the goods, Deliver to customer and Return raw materials to customer, with what you hold for each customer.
- 10
Read a challan with AI
A photo or PDF of the job worker's return challan, or a customer's challan, is matched to the order's lines; you check each line, then make a draft receipt. Needs the AI Assistant add-on.
India compliance
For businesses in India, built in.
India is our first fully supported market. Each line says whether it works today, once you connect your account, or in part.
Outside India
Outside India, job work runs the same way. The rule 55 challan, section 143 and the ITC-04 register are for India.
What works in your country- Works today
Rule 55 challan
The challan carries both GSTINs, HSN, quantity and taxable value, and states the goods go for job work under section 143 of the CGST Act.
- Works today
One-year limit
Inputs must come back within one year, and capital goods within three. The 300-day alert gives you time to act.
- Works today
E-way bill for job work
Goods sent to a job worker in another state need an e-way bill whatever their value. The transfer makes the upload file.
- Works today
ITC-04 figures
The registers lay out tables 4 and 5A. You or your CA file ITC-04 on the GST portal from them.
- Works today
MSME job workers
Unpaid bills of MSME job workers show the 45-day payment limit and what is past it.

Not in Subcontracting yet
Left out on purpose, or planned.
- Filing ITC-04 from MyRecords. The registers give you the figures to enter on the GST portal.
- Working offline. Subcontracting screens need a connection.
- On a phone
- Works in any phone browser and installs to the home screen. Subcontracting needs a connection; only point of sale, the shop floor, attendance check-in, maintenance visits, asset physical checks and bill photos for Read a bill keep working offline.
- Bringing data in
- Job workers (as suppliers), items and open orders from a spreadsheet on our template; Import data checks the columns first and can undo an import.
- Getting data out
- The registers download as spreadsheets, challans print to PDF, and every list exports to Excel, CSV or PDF.
- Integrations
- The e-way bill upload file works today; making the e-way bill through the API works once you connect a GST API provider. ITC-04 itself is filed by you on the GST portal.
- Where it runs
- Runs as your own dedicated system: on your server under an AMC, or on MyRecords Cloud for a monthly fee. Either way the records are yours, and you can export everything when you leave. Data ownership and exit
Questions
Questions people ask
Something else on your mind?
Ask us anything about modules, a quote or moving across. A person from our team replies.
Ask a question01Do I need Manufacturing to use Subcontracting?
Yes. Subcontracting works on items with a BOM, so it needs the Manufacturing module switched on.
02Does it prepare the ITC-04 return?
It prepares the ITC-04 tables, with inputs sent (table 4), goods received back (table 5A) and each job worker's balance. You or your CA enter them on the GST portal.
03Can I give out just one operation?
Yes. Use Subcontract this job on a job card, or make a subcontracting order from a purchase order for a whole item.
04How is the cost of goods made by a job worker worked out?
The materials you sent, at their stock value, plus the job charge on the job worker's bill. The receipt books that cost to the finished goods.
05Do I need an e-way bill to send material to a job worker?
Within your state, when the value is above ₹50,000 (some states differ). To a job worker in another state, whatever the value. MyRecords makes the upload file from the transfer.
06Can I do job work for my customers?
Yes. A customer job work order takes in the customer's material, tracks what you hold for them, and delivers the goods and any material left back. Their material never counts as your stock.
