In short

For a finance head, MyRecords brings sales, purchases, stock, payroll and payments into one ledger as they happen. Bank and payment reconciliation auto-match what they can, receivables and payables age by days late, and Close books locks a period so it stays locked. In India, MSME payables shows what must be paid within 45 days. The profit and loss compares periods and opens the entries behind any amount, and a parent company gets consolidated statements.

Before and after

What gets easier.

The same jobs, done once, on one set of books.

  • Today: Bank reconciliation takes two days at month-end.

With MyRecords: Import the statement and run Auto-match; only the lines it could not match need you, and you can create the entry from the line.

  • Today: MSME bills cross the 45-day limit, and interest follows.

With MyRecords: MSME payables lists micro and small suppliers past or near 45 days, with a pay-by date and an interest estimate.

  • Today: Someone posts into last month after it is closed.

With MyRecords: Lock the books up to a date once it is reconciled. Only the role you allow can post before it.

  • Today: Big reports time out when the auditors ask for them.

With MyRecords: Large reports run in the background and show when they were prepared, with Refresh.

5 steps

Your work, step by step.

One record moves through every step, so nobody types it twice. Read the steps, or watch the same work run on sample data.

  1. Reconcile bank

Import the statement as CSV or Excel, run Auto-match, then match or create the entry for each line left.

    Accounting
  2. Match payments

Payment reconciliation sets unallocated payments and credit notes against the invoices they settle in three steps — get entries, allocate, reconcile — or auto-matches all parties at once.

  3. Pay suppliers on time

See MSME suppliers by days left, with pay-by dates, and pay the selected bills from the page.

    Purchasing
  4. Check the trial balance

The trial balance shows opening, movement and closing for every account, and checks that debits equal credits.

    Accounting
  5. Close and compare

Work the month-end checklist in Close books and lock the month. Compare profit and loss with the previous period or last year, click any amount to see its entries, and let Explain my month put the month in plain words.

Honest fit

When it is not the right fit.

We would rather say so now than after you have paid.

Compare the options fairly
  • If you need bank balances pulled in automatically, bank feeds are not available yet; statements are imported as files.
  • If you need TDS returns filed on TRACES from the software, note that MyRecords makes the Form 26Q or Form 140 workbook for the return preparation utility; filing stays with you.
  • If you need GSTR-9 or a TCS return prepared in the same system, these are not built yet.

Ask a question
01Can it reconcile bank statements automatically?

Auto-match matches every line of an imported statement that it can; you match or create the rest. Statements come in as CSV or Excel files; direct bank feeds are not available yet.

02Does it track MSME payments?

Yes. Bills from micro and small suppliers show the 45-day limit, an interest estimate, what is not deductible this year under section 43B(h) unless paid in time, and the data for the half-yearly MSME-1 return.

03Can I lock a month?

Yes. In Close books, Lock till last month end stops anyone adding, changing or cancelling an entry on or before that date, except the role you allow. Closed periods can also close one kind of entry, such as sales after GST is filed.

04Which statements does it produce?

General ledger, trial balance, profit and loss, cash flow and a Schedule III balance sheet with notes. A parent company also gets consolidated statements for its group.

05Do payroll and stock post to the books?

Yes. Pay runs, stock movements, invoices and payments post their entries when submitted. There is no separate posting step.

06Can our auditors get access?

Yes. Invite them with an end date and the access you choose. The year-end pack (trial balance, profit and loss, balance sheet, notes, closing entries, locked periods) can be printed or e-mailed to them. Users are unlimited.
