Switching from Busy

Move from Busy, checked step by step.

Parties and items come straight from your Busy export. Balances and open bills follow, then we reconcile together.

  • Unlimited users
  • Pay only for the modules you use
  • Core ready in 1–2 weeks
  • Customised to your requirements

In short

MyRecords reads the party and item lists you export from Busy as CSV or Excel. The setup wizard shows which column fills which field, you confirm or change it, and a dry run lists what will be created and every problem before anything is. Parties bring their GSTIN, contact, address and opening balance; items bring code, HSN or SAC, unit, GST rate, and selling and buying prices. Opening stock and open bills go in through the wizard's Opening balances step, open orders through our Excel templates. Then the trial balance, party balances and stock go side by side with Busy before you go live.

Before and after

Why people move.

What changes when Busy gives way to one system.

  • Today: The godown, counter and office each need their own login, and the users keep adding up.

With MyRecords: Users are unlimited in MyRecords, across every module and branch.

  • Today: Payroll, leads and customer complaints live outside the accounting software.

With MyRecords: HR, Payroll, CRM and Support run on the same books as billing and stock.

  • Today: Seeing the business from outside the office means remote desktop on the server PC.

With MyRecords: It works in any phone browser and installs to the home screen, on your server or MyRecords Cloud.

  • Today: The owner wants one screen, not five reports.

With MyRecords: Home shows cash and bank, receivables, payables and what waits for you, from the same records. With the AI Assistant add-on, you can ask about them in plain words.

5 steps

How the move works.

Every step is checked with you before the next one starts.

  1. Export from Busy

Export your party (account) list and item list as CSV or Excel. Keep the headers in the first row.

  2. Parties in

In the setup wizard, choose Busy. It picks the column for each field, you check or change the picks, run a dry run, then create customers and suppliers with their opening balances.

    Sales
  3. Items in

Items come in with code, HSN or SAC, unit, GST rate, selling price and buying price. Opening stock is entered by godown in the Opening balances step.

    Inventory
  4. Balances and open documents

Ledger balances, unpaid bills and stock on hand go into the Opening balances step; open orders through our Excel templates.

    Accounting
  5. Reconcile, then run in parallel

Trial balance, party balances, stock and bank go side by side with Busy. Then one to two weeks in both, until three days in a row match with no manual fix.

Your data

What moves, and how.

Item by item, from Busy to MyRecords. Every file is checked before anything is imported.

What moves from Busy, and how
WhatHow it moves
Customers and suppliersFrom your Busy party export (CSV or Excel). Columns are picked for you to confirm; GSTIN, PAN, mobile, e-mail and address come along, and an invalid GSTIN is left empty with a warning. Opening balances carry into the Opening balances step.
ItemsFrom your Busy item export, with code, HSN or SAC, unit, GST rate, group, selling price and buying price.
Opening stockBy item and godown, with value, on the opening-balance date, in the Opening balances step or our Excel template.
Ledger balancesOne opening entry from your trial balance, matched to the MyRecords chart of accounts. With the AI Assistant, a PDF or photo of the trial balance fills the lines for you to check.
Open billsUnpaid customer and supplier bills come in as opening invoices, so "Who owes you" and ageing are right from day one.
Open ordersSales and purchase orders still to deliver, through our Excel templates.
Older vouchers and historyStay in Busy by default. History can move through CSV templates at extra cost; there is no Busy-specific voucher converter.

Timeline

Week by week, to go-live.

Nothing goes live until the checks pass and you agree.

Your move to MyRecordsWeek 0 to Cutover
  1. Week 0

Walk your Busy company. Agree the cutover and opening-balance dates.

  2. Week 1

Parties, items, groups and godowns. Check, fix, import.

  3. Weeks 1–2

Opening balances, opening stock, open bills and orders. An accountant reviews a 20-row sample first.

  4. Week 2

Reconcile with Busy for the opening-balance date.

  5. 1–2 weeks

Parallel run until three consecutive days reconcile with no manual fix.

  6. Cutover

Final export, the gap imported, a go-live backup kept, Busy read-only. Sign-off starts support.

Go-live checklist

6 checks, signed off with you

  • Trial balance — every ledger matches Busy on the opening-balance date.
  • Receivables and payables — totals and ageing, party by party.
  • Stock — quantity and value by item and godown.
  • Bank and cash — each account matches its statement.
  • Counts — parties and items.
  • GSTIN present on every registered party — 100%.

6 modules

What you run after the move.

Most businesses like this start here. Every module shares one set of books, one login and one list of customers and items.

Honest fit

When to stay where you are.

We would rather say so now than after you have paid.

Compare the options fairly
  • If one office covers you, Busy's perpetual Standard licence is ₹16,500 for one user or ₹40,000 multi-user, with an optional renewal from ₹6,500 every 360 days (Busy licence prices, checked 1 Nov 2026). That is hard to beat on price.
  • If you rely on uploading GSTR-1 to the portal directly from the software, note that MyRecords prepares GSTR-1 and GSTR-3B files for you to upload; filing from inside MyRecords is not built yet.
  • If you need GSTR-9 or a TCS return from the same software, MyRecords does not prepare these yet.
  • If you need a phone app that works without a connection, note that MyRecords works in any phone browser and needs a connection, except point of sale, the shop floor, attendance check-in, maintenance visits, asset physical checks and bill photos for "Read a bill".

Questions

Questions people ask

Something else on your mind?

Ask us anything about modules, a quote or moving across. A person from our team replies.

Ask a question
01Does MyRecords import Busy files directly?

Parties and items, yes. The setup wizard reads your Busy CSV or Excel export, shows which column fills which field, and runs a dry run first. Balances and open bills go into the Opening balances step; open orders come through our Excel templates.

02Do my Busy vouchers come across?

Not as Busy vouchers. Only what is still open moves by default; closed history stays in Busy. History can move through CSV templates at extra cost.

03Can I undo an import that went wrong?

The wizard's party and item imports show a dry run before anything is created. A template import that created new records can be undone as a whole from Undo a data import.

04How long does the move take?

About two weeks to a reconciled opening, then one to two weeks of parallel running.

05What does it cost?

Masters and opening balances from our templates are part of the setup fee. Older history is optional, quoted up front by the years you move. See data migration.

06Will my item codes and HSN codes stay the same?

Yes. Item names, codes (Busy's alias), HSN or SAC and units come from your export. Check a sample in the dry run before you import.
