What it fixes
What changes with Quality.
In short
Quality in MyRecords records inspections against templates for goods received, work in progress and goods going out, with readings that pass or fail as they are typed. A failed check becomes a non-conformance with an owner, then a corrective action, and quality reviews track your goals. It needs only the ERP core; with Manufacturing, inspections also run from job cards and the Shop floor page.
-
Before: Inspection results live in notebooks nobody can search.
With Quality: Each inspection is a record with its readings, photos, batch and supplier.
-
Before: Orders keep going to the supplier who sends the most rejects.
With Quality: Each supplier's Quality tab shows their pass rate against other suppliers', and the production dashboard lists suppliers lowest pass rate first.
-
Before: A problem is found, then forgotten.
With Quality: A non-conformance has an owner who is told when it is raised and again after 7 days, and it leads to a corrective action.
-
Before: Customers want a test certificate with every batch.
With Quality: Print an inspection certificate, or gather a delivery's batch certificates into one PDF.
What it does
What Quality does for you.
Everything here works today on the demo company.
- 01
Inspection templates
Parameters with acceptable ranges, values or a formula, filled into an inspection with Load template.
Works on the same records as
- 02
Incoming and outgoing checks
Create quality inspections on a goods receipt with a sample size, and check finished goods before delivery. Rejected quantities go to a rejected-stock warehouse.
- 03
In-process checks
Inspect from a job card, or type the readings on the Shop floor page without leaving the job.
- 04
Readings that judge themselves
Reading cards sized to the sample, a live pass or fail, a one-at-a-time keypad mode and a photo for each reading.
- 05
Hold until inspected
Set an item to need an inspection before purchase or delivery. A missing or rejected inspection then stops the receipt or delivery, or only warns, as you choose.
- 06
Non-conformance
Record non-conformance from a failed inspection, follow it on its Follow-up tab or a board, and mark it resolved.
- 07
Quality actions
Corrective and preventive actions with a checklist of owners and dates, and a daily reminder of overdue rows to each owner.
- 08
Goals, reviews and procedures
Quality goals with targets, reviews with a result for each, quality meetings with minutes, customer and staff feedback, and written procedures.
- 09
Certificates
Inspection certificate print, and batch certificates gathered for a delivery as one PDF.
- 10
AI help
Read a supplier's certificate of analysis into readings, draft corrective and preventive actions, suggest a resolution, describe a goal's trend and read feedback comments. Duplicates and a suggested owner work without AI. Needs the AI Assistant add-on.
Try it
See it on the demo company.
We show you the demo company's inspections, with a rejection and a non-conformance to follow, on a call, and can give you a demo sign-in to record a reading yourself. Or join the pilot programme and try it on your own goods.
Reports and roles
What you see, and who sees it.
Reports come ready on day one. Each person sees only the screens and records their role allows.

Not in Quality yet
Left out on purpose, or planned.
- Direct links to lab instruments or gauges. Readings are typed or photographed.
- Certification. Quality records your checks; it does not certify you to any standard.
- On a phone
- Inspectors can type readings in any phone browser, with a keypad mode and a photo per reading, and install it to the home screen. Quality screens need a connection; only point of sale, the shop floor, attendance check-in, maintenance visits, asset physical checks and bill photos for Read a bill keep working offline.
- Bringing data in
- Inspection templates and their parameters from a spreadsheet on our template; Import data checks the columns first and can undo an import.
- Getting data out
- Inspections, certificates and every list export to Excel, CSV or PDF.
- Integrations
- Reading a supplier's certificate of analysis by AI works once the AI Assistant has its key. Lab instruments and gauges do not connect directly.
- Where it runs
- Runs as your own dedicated system: on your server under an AMC, or on MyRecords Cloud for a monthly fee. Either way the records are yours, and you can export everything when you leave. Data ownership and exit
Questions
Questions people ask
Something else on your mind?
Ask us anything about modules, a quote or moving across. A person from our team replies.
Ask a question01Do I need Manufacturing to use Quality?
No. Traders use Quality for incoming and outgoing checks with the ERP core alone, starting inspections from the goods receipt. With Manufacturing, inspections also run from job cards and the Shop floor page.
02Can an inspection hold up a goods receipt?
Yes. Mark the item as needing inspection before purchase or delivery. A missing or rejected inspection then stops the receipt or delivery, or only warns, depending on your setting.
03What happens to rejected stock?
Rejected quantities on a goods receipt go to a rejected-stock warehouse, and you can return them to the supplier from there.
04Can I give customers a certificate?
Yes. Print an inspection certificate, or attach a delivery's batch certificates as one PDF.
05Can inspectors work on a phone?
Yes. The reading screen has a keypad mode and takes a phone photo for each reading. It needs a connection.
06How are non-conformances followed up?
Each one has a procedure owner and a Follow-up tab, and Create corrective action makes a quality action with a checklist. The owner is told when it is raised and again after 7 days; only the owner or a Quality Manager can mark it resolved.
