What it means
Many business applications charge per user per month. That pushes owners to share one login among several people, which breaks the audit trail, or to keep staff off the system. With unlimited users, the price depends on the modules and the size of the business, not the number of logins, so a storekeeper, a salesperson on the road and every employee checking their payslip can each have their own.
Example
A 40-person distributor wants logins for 6 office staff, 10 salespeople, 4 storekeepers and all 40 employees for leave and payslips.
| Pricing model | Logins paid for | Cost driver |
|---|---|---|
| Per user (hypothetical ₹1,000 a user a month) | 40 | ₹40,000 a month, rising with every hire |
| Unlimited users | 40 or 400 | Modules and size only |
Common mistakes
- Assuming “unlimited users” means unlimited everything; check limits on companies, GSTINs and branches.
- Giving everyone full access because logins are free. Roles still matter.
- Ignoring server capacity for many people working at once.
