In short

For a wholesale trader, MyRecords runs the whole chain from quotation to order, delivery, tax invoice and payment, on one set of books. In India it applies CGST + SGST or IGST by place of supply, prints a GST tax invoice with HSN and the buyer's GSTIN, and prepares the GSTR-1 file for upload from the same invoices; above the e-invoicing threshold it creates the e-invoice upload file and records the IRN on the bill.

Before and after

What gets easier.

The same jobs, done once, on one set of books.

  • Today: Staff quote last month's rate because nobody can find the current price list.

With MyRecords: The rate comes from the customer's price list. The Quote check tab shows list price, quoted rate, discount, last billed rate and margin before the quote goes out.

  • Today: An interstate bill went out with CGST and SGST, and the buyer refused it.

With MyRecords: CGST + SGST or IGST is decided by place of supply on every invoice, not typed by hand.

  • Today: Half-delivered orders get billed twice or not at all.

With MyRecords: Each order shows what is delivered and what is billed, line by line, and invoices pull only the delivered lines.

  • Today: Supplier bills pile up and the MSME ones get paid late.

With MyRecords: MSME payables shows each micro and small supplier's 45-day limit, a pay-by date, an interest estimate and what falls due in the next five days.

  • Today: GSTR-1 never matches the sales register.

With MyRecords: The GSTR-1 file is built from the same invoices, with the ones that need attention listed before you upload it.

6 steps

A day with MyRecords.

One record moves through every step, so nobody types it twice. Read the steps, or watch the same work run on sample data.

  1. Send the quotation

Quote from the price list. The Quote check tab shows discount, last billed rate and margin line by line; then print or share it by e-mail, WhatsApp or a link.

    Sales
  2. Turn it into an order

Convert the accepted quote into a sales order in one step. Take an advance against it if your terms ask for one.

  3. Deliver from the godown

Deliver in full or in parts. Vehicle and LR numbers go on the delivery note, and the e-way bill upload file is ready for the portal.

    Inventory
  4. Raise the tax invoice

Pull the delivered lines into a GST tax invoice with HSN, the buyer's GSTIN and a UPI QR for the exact amount. Above the threshold, add it to the e-invoice upload file and record the IRN.

    Accounting
  5. Read the supplier's bill

With Read a bill, the AI Assistant reads a scanned supplier bill (GSTINs, HSN, tax lines) into a draft for you to check. It needs the AI Assistant add-on, and an AI key on your own server.

    Purchasing
  6. Close the month

Prepare the GSTR-1 and GSTR-3B files for upload from the books, and match purchases against the GSTR-2B file you download.

Honest fit

When it is not the right fit.

We would rather say so now than after you have paid.

Compare the options fairly
  • If your buyers order through a B2B marketplace or Shopify and you need orders pulled in automatically, those connectors are not built yet.
  • If you need the software itself to file GSTR-1 on the portal today, note that MyRecords prepares the file for you to upload; filing from inside MyRecords is not built yet.
  • If you file quarterly under QRMP or pay composition tax, those returns are not built yet. See the roadmap.
  • If you only raise a few bills a month from one desk, a desktop accounting package may be all you need.

Questions

Questions people ask

Something else on your mind?

Ask us anything about modules, a quote or moving across. A person from our team replies.

Ask a question
01Does it decide CGST + SGST or IGST by itself?

Yes. The tax on each invoice follows the place of supply, and the default print is a GST tax invoice with HSN and the customer's GSTIN. Check a case with the place-of-supply checker.

02Can I keep different price lists for different buyers?

Yes. Keep several price lists (for example dealer and retail) and set one on each customer. Items and prices shows every item with its price, stock and HSN; click a price to change it, or change many at once. Annual rate contracts and dealers sit in Contracts and partners.

03Do you generate the e-invoice IRN?

MyRecords creates the e-invoice upload file for the government portal and records the IRN and acknowledgement on the invoice. Generating the IRN directly on the portal's API is built and works once you connect your e-invoice API login, from NIC or a GSP.

04Can it read supplier bills?

Yes, with the AI Assistant switched on. Snap or upload up to 10 bills at a time and each becomes a draft purchase invoice for you to check. Bills are posted only when you submit them, or automatically if you turn on auto-post for bills that pass every check.

05How do we chase payments?

"Who owes you" ages every customer by days late. From the page, send reminders by WhatsApp or e-mail, download statements, record a promise to pay, and make reminder letters for the overdue ones.

06Does every invoice carry a UPI QR?

Yes, if you add your UPI ID. The QR carries the exact invoice amount and the buyer pays from any UPI app. Payment links work once you connect your Razorpay, Cashfree or Stripe account; a paid link makes a draft payment against the invoice for someone to submit.

07How is it priced?

A one-time setup fee for the modules you switch on, then cloud + maintenance monthly or an AMC yearly, quoted for your business at our best price. It works in any country and is customised to your requirements. Users are unlimited, with no per-user fees. Get a quote.
