How it works
Five steps, start to finish.
In short
In MyRecords each warehouse (a godown, a shop, a rack) sits in a tree, and every item shows its stock in each one. Move stock transfers stock from one warehouse to another by scan or by picking items; goods on the road sit in a transit warehouse until they are received. A transfer changes where the stock is, never the total, and every move is in the stock ledger.
-
Step 1
Set up your warehouses
Add warehouses as a tree — a branch, its godowns, and racks if you need them. A place registered with GST carries its own address and GSTIN.
-
Step 2
Open Move stock, Transfer
Pick the From warehouse and To warehouse, then scan or type a barcode, batch, serial or item code. Each scan adds one. Or type the move in a sentence and press Fill from words (AI).
-
Step 3
Check and move
Lines short in the source warehouse turn red. Press Transfer now, or save a draft; a draft's Stock check tab also flags a missing batch or serial and the same warehouse on both sides.
-
Step 4
Receive what is in transit
For a move that takes days, send it via transit and press Receive at destination when it arrives. Entries in transit for more than 7 days raise an alert.
-
Step 5
Print the paperwork
Print a delivery challan or a transfer note. Above ₹50,000, make the e-way bill upload file from the same entry.

Moves between two GSTINsWorks today
A move between two GSTINs of the same company is a supply, so it is billed as a sales invoice to your own branch and the e-way bill comes from that invoice.
-
E-way bill through the APIOnce connected
Making the e-way bill on the portal straight from the transfer works once you connect a GST API provider. The upload file works today.

Questions
Questions people ask
Something else on your mind?
Ask us anything about it. A person from our team replies.
Ask a question01How many warehouses can I have?
As many as you need in MyRecords. The setup price includes 2, 6 or 12 locations (office, godowns, branches) by business size; each extra warehouse or branch is priced in the estimator. Users are unlimited.
02Does a transfer change my stock value?
Not the total. Quantity and value move together from one warehouse to the other, so each warehouse's figures change and the company's total stays the same.
03Do I need an e-way bill to move stock between my own warehouses?
Usually, when the goods are worth more than ₹50,000, even though a move between your own premises is not a sale. MyRecords makes the upload file from the transfer, and the goods travel on a delivery challan.
04Can I see what is on the road?
Yes. Goods sent via transit show on the Inventory home under In transit, not yet received, and an alert flags anything in transit for more than 7 days.
05Can a storekeeper transfer stock but not adjust it?
Yes. The Stock User role receives, issues and transfers stock; only a Stock Manager posts a count or an adjustment.
