Every cost line, what drives it, and public prices checked on 1 Nov 2026.

The short answer

The licence or subscription is only part of ERP cost. Over three years you also pay for setup, data migration, training, hosting or a server, yearly support and any custom work. On 1 Nov 2026, TallyPrime Gold was ₹67,500 + GST for a lifetime licence, Zoho Books ran from ₹749 to ₹7,999 per organisation a month, and Odoo Standard was ₹725 per user a month billed yearly (₹580 for the first 12 months). MyRecords is quoted for each business, with unlimited users and no per-user fees.

The cost lines

Cost line One-time or recurring What drives it
Licence or subscription Either Users, companies, edition
Setup and configuration One-time Modules, locations, approvals, print formats
Data migration One-time Masters only, or past years too; source software
Training One-time, then occasional Number of roles and people
Hosting or server Recurring Cloud plan, or your own hardware and its upkeep
Support and updates (AMC) Recurring, yearly Response times, hours, law updates
Customisation One-time, plus upkeep Custom fields, reports, integrations
Usage fees Recurring GSP calls, WhatsApp messages, AI answers
Your own team’s time Hidden Clean-up, testing, the parallel month

What moves the total

  • Users. Per-user plans grow with every login. Licences by edition, and systems with unlimited users, do not.
  • Scope. Each module adds setup, training and data to move. Start with what you will use in the first year.
  • History. Masters and opening balances move quickly. Past years of vouchers take longer, and longer still from software without a ready import.
  • Where it runs. A cloud plan folds the server into a monthly fee. Your own server means hardware, backups and someone to look after them, plus a yearly AMC.
  • Support level. Faster response times, longer hours and on-site visits cost more.
  • Custom work. You pay for a change once, and usually again each year to keep it working through upgrades.
  • Usage fees. GSP calls, WhatsApp messages and AI answers are billed by use.

Work out a three-year total

  1. Add the one-time lines: licence or setup, data migration, training and any custom work.
  2. Add three years of the recurring lines: subscription or AMC, hosting or a server, and usage fees.
  3. Price per-user plans at the headcount you expect in year three, not today’s.
  4. Allow for a yearly price rise, if the vendor’s terms allow one.

For example, licences alone for 25 people on Odoo Standard at the regular yearly price would be 25 × ₹725 × 36 = ₹6,52,500 over three years, before implementation.

Which is cheaper for you

Be honest about what you need:

  • Choose TallyPrime if you mainly need accounts, GST and inventory on one office network. A lifetime Gold licence at ₹67,500 is far cheaper than any ERP setup.
  • Choose Zoho Books if you want low monthly accounting on the cloud with few users and no setup project.
  • Choose a per-user cloud ERP if you have few users and want to set it up yourself.
  • Choose MyRecords if many people need access, you want accounts, GST, stock, HR and payroll in one system, you want it set up for you, and you prefer your own server or a dedicated cloud system. Users are unlimited, with no per-user fees.

Questions

Questions people ask

Something else on your mind?

Ask us anything about modules, a quote or moving across. A person from our team replies.

Ask a question
01Why is ERP setup so much more than a software licence?

Setup pays for people’s time: configuring the system to how you work, moving your data, checking the opening balances, and training your staff. Off-the-shelf accounting software skips most of that, and you do it yourself.

02Are these prices with GST?

No. All prices here exclude GST, which is 18% on software and services. Tally adds 18% GST on its page, Zoho says its prices exclude local taxes, and Busy adds applicable GST.

03What does per-user pricing cost as I grow?

It grows with every login. At Odoo’s Standard price of ₹725 per user a month billed yearly, 10 users cost ₹87,000 a year and 30 users ₹2,61,000. MyRecords has no per-user fees; it is quoted for the modules you switch on and the size of your business.

04What costs do people forget?

GST Suvidha Provider fees for direct e-invoice or return filing, WhatsApp message charges, extra training when staff change, a server and its replacement if you self-host, and the time your own team spends on the change.

05Can I get a MyRecords price for my business?

Yes. MyRecords works in any country and is customised to your requirements, so we quote it for your modules, size and where it runs, in writing, before any work starts. Get a quote.
