How it works

Three steps, start to finish.

In short

MyRecords prepares the GSTR-1 and GSTR-3B files for upload from the sales and purchase invoices in your books, so the return and the ledger cannot disagree. GSTR-1 follows the GST portal's offline-tool format; GSTR-3B covers tables 3.1, 3.2, 4, 5 and 6.1. Upload the GSTR-2B file you download from the portal and every supplier bill is matched. You or your CA upload the files on the portal; filing from inside MyRecords is not built yet.

  1. Step 1

    Review the month

Accounting › GST returns opens on last month. GSTR-1 lists each invoice's section, place of supply and tax, and Needs attention shows what to fix, such as a missing GSTIN or HSN.

  2. Step 2

    Export the files

Press Export JSON on GSTR-1 and on GSTR-3B, and upload each file on the GST portal. GSTR-3B shows each table with the invoices behind every figure.

  3. Step 3

    Match GSTR-2B

After the 14th, download GSTR-2B from the portal and press Upload GSTR-2B JSON. Matches, mismatches and missing bills are listed supplier by supplier.

  • In part 2
  1. GSTR-1 sectionsWorks today

B2B, B2C large and small, credit and debit notes to registered and unregistered buyers, exports, nil-rated and exempt supplies, the HSN summary with its B2B and B2C split, and documents issued.

  2. GSTR-3B tablesWorks today

Tables 3.1, 3.2, 4, 5 and 6.1 from the books. ITC blocked under section 17(5) is shown in 4(A) and reversed in 4(B)(1), and 6.1 sets off credit in the order rule 88A requires. Each figure opens the invoices behind it, and the totals are checked against GSTR-1 and the GST ledger.

  3. GSTR-2B matchingWorks today

Bills are matched by supplier GSTIN and bill number, with possible matches and the ITC at risk per supplier. A 2B row missing from your books becomes a draft purchase bill in one step, and Email supplier lists the bills they have not reported. Every run is kept with its file, and can be reopened against today's books.

  4. IMS decisionsIn part

Mark each inward invoice Accept, Reject or Keep pending, with a reason for a rejection, and export the IMS worksheet to act on in the portal's Invoice Management System. Sending the actions from here works once you connect a GSP account.

  5. ITC registerWorks today

Input tax credit by month, tax head and eligibility; by supplier with each GSTIN's status and 2B result; and bill by bill.

  6. GSTR-2B and IMS through a GSPOnce connected

Fetching GSTR-2B and sending IMS actions from inside MyRecords, with an OTP from the GST portal, are built for a Vayana GSP account. They work once you connect yours.

  7. One GSTIN per companyIn part

Returns are worked out per company for its GSTIN, for monthly periods. A business with registrations in several states runs one company per GSTIN.

Ask a question
01Does MyRecords file GSTR-1 and GSTR-3B?

It prepares the files for you or your CA to upload on the GST portal. Filing from inside MyRecords is not built yet.

02When are the returns due?

For a monthly filer, GSTR-1 by the 11th and GSTR-3B by the 20th of the next month, unless the government extends them. Both dates show on Home in the compliance calendar.

03When can I match GSTR-2B?

The portal makes GSTR-2B for a month on the 14th of the next month. Download it and upload it here, or fetch it through a connected GSP; you can run the match again whenever the books change.

04What if the GSTR-1 file has errors?

Needs attention on GSTR-1 lists what to fix, invoice by invoice, such as a missing GSTIN or HSN, before you export. Fix the invoice and export again.

05Do I file quarterly under QRMP?

Then MyRecords is not ready for your returns yet. It prepares monthly returns only; QRMP is on the roadmap.

06Have these files been accepted by the GST portal?

They follow the portal's published formats and are tested against them, but no client has uploaded one to the live portal yet. In the pilot we prepare your first month with you and your CA before you file.
