What it means
Business software keeps changing after go-live: GST and payroll rules change, bugs turn up, staff need help, and the server needs care. An AMC pays for that work for a year at a time. A good AMC says in writing what is covered (support hours, channels, response times, statutory updates, upgrades, training) and what is billed extra (new features, custom work).
Example
Kaveri Agencies, Mysuru, compares two AMC quotes for its billing and accounts software:
| What the quote covers | Quote A | Quote B |
|---|---|---|
| Support hours | Mon–Sat, 10:00–18:00 | Mon–Sat, 09:00–20:00, plus on call for critical issues |
| First response, critical issue | 8 business hours | 2 hours |
| Statutory updates (GST, TDS, PF) | Included | Included |
| Major upgrades | Billed extra | Included |
| On-site visits | None | 4 a year |
Quote A has the lower yearly fee, but an upgrade needed for a new GST format is billed on top. Kaveri compares what each quote covers, not only the fee.
Common mistakes
- Comparing AMC prices without comparing response times and what counts as “included”.
- Skipping the AMC to save money, then paying per visit when the GST rules change.
- No written list of what the vendor will not do.
In MyRecords
You choose a yearly AMC when MyRecords runs on your own server, or MyRecords Cloud, where hosting and maintenance are billed together monthly. Statutory updates and bug fixes are in every tier (Essential, Standard and Premium), and the AMC is quoted with your setup. See support and AMC for the full inclusions.
