In short

A GST tax invoice must show the supplier's and buyer's names, addresses and GSTINs, a serial number of up to 16 characters unique for the financial year, the date, HSN or SAC, quantity, taxable value, each tax's rate and amount, the place of supply for inter-state sales, and whether reverse charge applies (CGST Rules 46 and 48). This free format has all of them, filled with a made-up example you can change.

15 fields, 12 always needed

What it must show.

Each field, with the rule it comes from.

AlwaysWhen it applies

NumberFieldNeededRule
01 Supplier's name, address and GSTIN Always Rule 46(a). Print the GSTIN, not the PAN.
02 Invoice number Always Rule 46(b): consecutive, up to 16 characters (letters, digits, "-" and "/"), unique for the financial year, e.g. KA/26-27/0412.
03 Invoice date Always Rule 46(c). Goods: on or before removal. Services: within 30 days of supply (rule 47).
04 Recipient's name, address and GSTIN Always Rule 46(d) for registered buyers, so they can claim input tax credit.
05 Unregistered buyer's name and delivery address When it applies Rule 46(e): when the buyer is unregistered and the taxable value is ₹50,000 or more, with the state name and code. Below ₹50,000, when the buyer asks for it (rule 46(f)).
06 HSN or SAC code Always Rule 46(g), its proviso and Notification 78/2020-CT: at least 4 digits on B2B invoices if AATO is up to ₹5 crore; 6 digits on all invoices above ₹5 crore.
07 Description, quantity and unit Always Rule 46(h) and (i).
08 Taxable value Always Rule 46(j) and (k): total value, and taxable value after discounts.
09 Tax rates and amounts Always Rule 46(l) and (m): CGST + SGST/UTGST within a state, IGST between states, and cess if any, each shown separately.
10 Place of supply Always Rule 46(n): the state name for inter-state supplies; good practice on every invoice.
11 Delivery address When it applies Rule 46(o): when different from the place of supply.
12 Reverse charge Always Rule 46(p): whether tax is payable on reverse charge (Yes/No).
13 Signature Always Rule 46(q): signature or digital signature of the supplier or an authorised person.
14 IRN and signed QR code When it applies Rules 46(r) and 48(4): only for businesses that must e-invoice (AATO above ₹5 crore in any year since 2017-18). Above that limit but exempt? Print the declaration in rule 46(s) instead.
15 Copies Always Rule 48: goods in three copies (original for recipient, duplicate for transporter, triplicate for supplier); services in two.

Ask a question
01Can I use this format if I am not registered under GST?

No. Only a GST-registered supplier issues a tax invoice. If you are unregistered, or in the composition scheme, or selling exempt goods, issue a bill of supply or a plain bill instead.

02Do I need the IRN and QR code fields?

Only if your aggregate annual turnover crossed ₹5 crore in any year since 2017-18. Then each B2B invoice must be reported to the Invoice Registration Portal before you issue it, and the IRN and signed QR code printed on it.

03Does an invoice need a signature if I send it by e-mail?

Rule 46(q) asks for a signature or digital signature, and a proviso to rule 46 says none is needed on an electronic invoice issued under the Information Technology Act, 2000. E-invoices reported to the portal carry the portal's digital signature in the QR code. For other invoices sent as PDFs, ask your CA whether the proviso covers them; a digital signature or your authorised signatory's signature is the safe choice.

04How does MyRecords print invoices?

Since 1 Nov 2026 a sales invoice prints as a GST tax invoice by default, with HSN, your GSTIN and the customer's, the place of supply, and CGST + SGST or IGST as the place of supply requires. It prints the original, duplicate and triplicate copies, the IRN and signed QR once the invoice has one, and a UPI QR for the amount due.

In MyRecords

Printed from the sale, not retyped.

This document prints from the sales records themselves, with GST worked out by the place of supply.
